Configuring Multi-Factor Authentication for Secure Document Signing

Multi-Factor Authentication (MFA) provides an additional layer of security for signature requests by requiring recipients to verify their identity before accessing a document. This helps ensure that only authorized recipients can view and sign sensitive documents, reducing the risk of unauthorized access.

Sign Made Easy supports multiple authentication methods, allowing organizations to choose the verification option that best meets their security and compliance requirements.


Supported Authentication Methods

  • Email OTP – Recipients verify their identity using a one-time password (OTP) sent to their registered email address.
  • SMS OTP – Recipients verify their identity using a one-time password (OTP) delivered via SMS.
  • WhatsApp OTP – Recipients verify their identity using a one-time password (OTP) sent through WhatsApp.


Note: A Twilio account must be configured in Sign Made Easy to use SMS OTP and WhatsApp OTP authentication methods. OTP verification messages will be sent through the configured Twilio service.



Step 1: Navigate to the App Launcher, search for Sign Made Easy, and select the application from the search results to open it.




Step 2: Navigate to the Sign Setup page and open the General Settings section.




Step 3: Enable the Authentication option to require recipient identity verification before accessing signature requests. 



Step 4: Navigate to the Record Page of the selected object from which you intend to initiate the SME process. If no record exists, create a new one by clicking the New button before proceeding. 



Step 5: Click the Sign Made Easy button available on the record to initiate a new signature request.




Step 6: Add Documents

  • You can upload a new document or select documents already associated with the parent record’s Notes and Attachments.
  • You can search for a document by its name using the Add Documents search bar.
  • Supported file formats include PDF, DOC, and DOCX.
  • You may also add documents using the drag-and-drop functionality.
    The maximum supported file size for each transaction record in Sign Made Easy is 15 MB.
  • To view only the selected documents, enable the Show Only Selected toggle.




Step 7: Add Recipients

  • You can add recipients by selecting existing Lead, Contact, or User records through the Add Recipient search bar. If the required recipient does not exist, you can create a new one using the Create New Recipient button.
  • The Create New Recipient button does not create Contact, Lead, or User records in Salesforce; it only creates Sign Recipient records.



Step 8: Select the desired Authentication Type for the recipient based on your security requirements:

  • Email OTP – Verify recipients using a one-time password sent to their email address.
  • SMS OTP – Verify recipients using a one-time password sent via SMS.
  • WhatsApp OTP – Verify recipients using a one-time password sent through WhatsApp.
